Practical guide

The first shipment: questions to resolve before dispatch

Commercial interest becomes a deliverable order only when the parties, product and operational responsibilities align.

Make the responsibilities explicit

Identify the seller, buyer, importer and other participants. Confirm who arranges transport, customs work, product procedures, insurance and local delivery. Check that the contractual description reflects the actual operation. Unclear responsibility often becomes visible only when the shipment reaches a checkpoint.

Connect the product file with the delivery plan

Prepare the product description, intended use, origin, value, quantities and supporting documents. Ask the appropriate specialists which procedures apply to the exact product. Samples can have their own handling and documentation questions. Do not assume that an earlier shipment or a similar product proves that this one is ready.

Confirm the transaction and pilot controls

Review payment feasibility with the relevant institutions and qualified advisers. Use a checklist covering documents, approvals, handovers and communication. Agree how discrepancies will be handled and what a successful pilot should demonstrate. The pilot should produce operational learning as well as a delivery record.
